New records
When an editor adds records to the system, the records will need to be reviewed and then published by a lead user. When there are submissions to be reviewed, the lead will receive an in-system notification in the notifications menu. They can also access submissions by selecting the ‘review submissions’ option on the main dashboard.
Accept records
In the tile overview of the submission to be reviewed, there is information about the records for review, including number of records, type, submitted by and submitted date.
Selecting the tile will open the table overview of the records to be reviewed.
Each record should be reviewed to ensure all data is correct and up to date before accepting or rejecting. There is also the option to edit data before reviewing DOI requests and rejecting or publishing records.
In this screen there is also the option to change the view, search for records and filter data to display a select list of records. This can assist when there are multiple records to be reviewed.
Reject records
There may be several reasons for records to be rejected, including submission errors and duplication. To reject a record:
- Select record(s) for removal
- Select ‘reject selected’
Rejected records are still accessible by leads in a temporary bank up until the user leaves this screen. This is accessed by selecting ‘restore rejected records'. The table displays the rejected records and provides option to restore the record.
Restored records are moved back to the list of records for review and then approved or rejected.
Edit records
In-field edits – click on each field individually which will allow for edits, and then select the green tick icon to confirm the edit.
Bulk edits – to change the value of several records to the same value at the same time, select the records, select bulk edit, select the field to change, add the new entry, select submit and confirm all the bulk edits to finalise them.
